This Privacy Policy explains how Circular Energy Systems ApS (“we”, “us”, “our”) collects, uses, and protects personal data when you visit and interact with www.circularenergysystems.tech.
We are the data controller for personal data processed in connection with this website.

2. Data we collect
2.1 When you use the public Savings Calculator
When you use the calculator at /tools/ces-public-calculator.html, the technical inputs you provide (number of zones, temperatures, oven dimensions, energy prices, etc.) are sent to our calculation server hosted in the EU for processing. No personal data is collected or stored from this interaction. The calculator does not use cookies and does not track your visit.
The server logs may temporarily record your IP address solely for the purpose of preventing abuse (rate-limiting). These logs are retained for a maximum of 7 days and are not used for any other purpose.
2.2 When you submit the contact form
If you choose to contact us via the contact form attached to the calculator (or via the standalone contact form on the website), we collect:
- Name
- Email address
- Company name
- Phone number (if you choose to provide it)
- Your message
- The technical inputs and results from your savings calculation (if you submitted the form from within the calculator)
- Date and time of submission

After the retention period, your data is deleted or anonymised. Where data is needed for the establishment, exercise, or defence of legal claims, we may retain it for the duration of the relevant limitation period under Danish law.
5. Who has access to your data
Your personal data is accessed only by employees of Circular Energy Systems ApS who need it to respond to your enquiry.
We use the following third-party processors:
- Brevo (Sendinblue SAS) — France-based provider used for transactional email delivery (replies and notifications). Brevo’s primary infrastructure is located in the EU. Our use of Brevo is governed by their Data Processing Agreement (DPA), in compliance with the GDPR. Brevo engages its own sub-processors (including some located outside the EU/EEA) for specific functions such as anti-spam, support tooling, and infrastructure. The current sub-processor list is available in Brevo’s Terms of Service (Appendix 3 — DPA).
- Railway (railway.app) — hosting of our calculation server in an EU region. Railway is a US-incorporated company; where applicable, transfers are governed by Standard Contractual Clauses.
- One.com — hosting of our website and email infrastructure (EU-based).
We do not sell, rent, or share your personal data with any third party for marketing purposes.
6. International data transfers
Our calculation server runs in an EU region of Railway, and our email and website hosting providers are based in the EU. Where a processor is incorporated outside the EU/EEA (notably Railway, a US-incorporated company), we rely on appropriate safeguards under Chapter V GDPR, including the European Commission’s Standard Contractual Clauses, to protect your personal data.
7. Cookies
This website’s public Savings Calculator does not use cookies and does not use tracking technologies of any kind.
The main website may use functional cookies required by WordPress and Divi (e.g. session cookies). No analytics or advertising cookies are used. Where consent is required for non-essential cookies, it will be obtained via a cookie banner.
8. Your rights
Under the EU General Data Protection Regulation (GDPR) you have the following rights regarding your personal data:
- Right of access — to obtain a copy of the personal data we hold about you.
- Right to rectification — to have inaccurate or incomplete data corrected.
- Right to erasure (“right to be forgotten”) — to have your data deleted.
- Right to restriction of processing — to limit how we use your data.
- Right to data portability — to receive your data in a structured, machine-readable format.
- Right to object — to object to processing based on legitimate interests, including direct marketing follow-ups.
- Right to withdraw consent — at any time, where we rely on consent. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. This includes:
- Encryption in transit (HTTPS/TLS)
- Access controls on email and hosting accounts
- Limited retention periods
- No storage of unnecessary personal data
10. Children
This website and its services are directed at business users and are not intended for children under the age of 16. We do not knowingly collect personal data from children.
